Booking Policy

1. Our Details We’re Footprint Leisure Private Limited, a registered company based in India, trading as Footprint Holidays. Our head office is located at 11/6, Vedanta Desikar Street, Pelanthope, Mylapore, 600004, and our registered address is 2A, 2nd Street, LIC Colony, Thiruvanmiyur, Chennai, 600041. We create customized travel experiences and operate out of India. Our credentials include an IATA number (14028895) and a GST number (33AABCF0870F1Z3), granted by the Government of India.

2. Application of These Booking Conditions Once your booking is confirmed—meaning you’ve paid a deposit or applicable amount and we’ve sent a confirmation—these booking conditions come into effect. If any part of this agreement turns out to be invalid, the rest still applies.

When you make a booking, you’re confirming that you’re authorized to act on behalf of your group. The lead person booking must be 18 or over, and will handle payments and communication. By submitting our form or proposal, you confirm you’ve read and accepted these terms.

3. Law and Jurisdiction This agreement is governed by English Law and falls under the exclusive jurisdiction of Indian courts.

4. Data Protection We care deeply about your privacy. To help plan your holiday or send updates, we collect necessary personal information. We use your data responsibly and in line with our Privacy Policy.

5. The Price of Your Holiday and Payment Once you’re happy with the initial draft itinerary, we work together to fine-tune it. At that point, we collect a USD 420 planning fee, which is adjusted in your final invoice. If the trip is cancelled, this fee is non-refundable and specific to that trip. We may also collect 25% of the trip cost upfront as a non-refundable advance based on supplier policies.

Your package usually includes: – Itemized hotel costs at or below standard online rates – A bundled cost for ground arrangements – Our professional fee, typically between 5% and 15%

It usually excludes: – Visa fees, personal expenses, and extras like porterage or hotel incidentals – New taxes or security charges introduced after booking – Travel insurance (which we strongly advise you get)

6. Changes or Cancellation by You 6.1 Making Changes

(a) Transfers: You can transfer your booking to someone else who meets the same travel conditions by letting us know in writing at least 7 days before departure. Any fees involved, including a non-refundable USD 420 admin charge, must be covered by you.

(b) Other Changes: For other modifications, we’ll try to accommodate. Written consent is needed, especially for group bookings.

(c) Admin Fee: The initial USD 420 planning fee is non-refundable even if you request changes.

6.2 Cancellations: To cancel your booking, send us a written request. The closer your cancellation is to your departure, the higher the fee. Deposits, fees, and insurance premiums aren’t refunded.

We recommend purchasing travel insurance that covers cancellations.

6.3 Cancellation Charges: Time before departure | Cancellation Fee 60+ days | 25% 59–43 days | 50% 42–29 days | 75% 28 days or less | 100%

7. If We Need to Change or Cancel

7.1 If We Cancel: We avoid cancellations within 8 weeks of your departure unless it’s absolutely necessary—like unforeseen events, incomplete payments, or insufficient group size.

If we do need to cancel, you can: – Get a full refund, or – Choose a similar trip (we’ll refund the difference if it’s cheaper)

7.2 Price Changes: Your holiday cost may change due to fuel rates, taxes, or currency shifts. We’ll absorb up to 2% of the increase. If it exceeds 8%, you can cancel and receive a full refund.

7.3 Other Adjustments: Minor tweaks (like flight time changes under 12 hours or hotel upgrades) may happen. If significant changes arise, we’ll reach out with options for you to choose from.

8. Our Liability to You If you have special requests—like dietary needs—please tell us during booking. We’ll pass them on to suppliers but can’t guarantee every request can be fulfilled.

9. Your Responsibility

(a) Ensure you have valid passports, visas, and vaccinations. These are your responsibility, and we aren’t liable if you’re denied travel.

(b) If you have medical conditions or disabilities, share them with us early so we can inform relevant providers. If you’re 28+ weeks pregnant, you’ll need a doctor’s certificate.

(c) Travel respectfully. If your behavior is disruptive or unsafe, we or our partners may deny service without refund. Legal consequences may apply for unlawful conduct.

10. If Something Goes Wrong If a problem arises during your trip, contact your hotel or holiday consultant immediately. If it can’t be resolved then and there, email us within 28 days of your return with details. We value clear communication so we can resolve it effectively.

We encourage travelers to embrace the unpredictability of new destinations with patience and good humour.

11. Additional Help If you’re in a bind during your holiday, we’re happy to help—whether that’s finding a doctor or rerouting plans. If the issue is caused by you, associated costs will be yours to cover.

12. Insurance Comprehensive travel insurance is a must. It should include cancellation, emergency evacuation, medical expenses, and cover all activities you plan to enjoy. Credit card insurance may not offer full coverage—please verify.

13. Excursions Any activities or tours you book while traveling are outside our package. These are independent arrangements, and we aren’t responsible for how they’re delivered.

14. Concierge Service Some holidays include concierge support. Any arrangements made through the concierge are separate from your contract with us, and we aren’t liable for their delivery.

Important Information

1.  Pre-booked Aircraft Seats Where possible, we’ll pre-book your seats if we’re managing your flights. Policies vary by airline, and we might need an additional deposit to confirm certain seat types (like bulkhead or exit row). Some airlines allow seat selection closer to departure—just let your consultant know your preferences early.

2. Concierge Our concierge service isn’t available everywhere. Your consultant will clarify availability based on your destination.

3. Updates We revise our Booking Conditions occasionally. The version that applies is the one on our website when you confirm your booking. Additional terms may apply to offers or promotions—these will be shared when relevant.

4. Brochure and Website Content We do our best to keep our brochures and site content accurate. Sometimes, supplier updates (like changes from hotels or airlines) require us to make changes. If any known updates affect your trip, we’ll let you know before or after your booking.

Site Availability: We aim to offer 24/7 access but may need to pause for maintenance. We also reserve the right to remove content that disrupts the site or violates any laws.

User Responsibility: Keep your login credentials private. You’re responsible for activity under your account. Inform us at feedback@footprintholidays.com if there’s any unauthorized use.

All information you provide should be accurate and compliant with applicable laws.

Intellectual Property: All content—text, graphics, images, videos, logos—belongs to Footprint Leisure Pvt Ltd or its partners. You can’t copy, redistribute, or republish any part without written permission.

FP’s trademarks can’t be used in hyperlinks or other marketing without our approval.

We may collect information about your computer, including where available your IP address, operating system and browser type, for system administration and to report aggregate information to our advertisers. This is statistical data about our users’ browsing actions and patterns and does not identify any individual. 

For the same reason, we may obtain information about your general internet usage by using a cookie file which is stored on the hard drive of your computer. Cookies contain information that is transferred to your computer’s hard drive. They help us to improve our site and to deliver a better and more personalised service. They enable us: 

  • To estimate our audience size and usage pattern. 
  • To store information about your preferences and so allow us to customise our site according to your individual interests. 
  • To speed up your searches. 
  • To recognise you when you return to our site.
